When staff leave there are a few areas you want to update in Ostendo.
Firstly, delete their user (File > System Configuration > User Security & Options). This will not remove any history for this user but will stop this user from logging into Ostendo.
Secondly, you will want to make the employee “Inactive” (Labour > Employees). This process is not as simple because to make an employee inactive they cannot be a salesperson or a buyer on an active order.
To find where they are still active, you will need to check the following order types:
- POS on hold orders/invoices
- Sales orders where the order status is not “Closed” or “Lost”
- Job orders where the order status is not “Closed” or “Lost”
- Purchase orders where the order status is not “Closed”
To review the list in POS you will need to:
- open POS
- click F10 to view the list of on hold transactions
- select and update salesperson as required.
Similar for the jobs and sales order screen, utilise the "Customise fields" function in your order grid to include “Salesperson”, then filter on orders based on this employee and update as required.
Similar for purchase orders, utilise the "Customise fields" function in your order grid and include “Buyer”, then filter the orders based on this employee and update as required.
